Built-in task management

Library work that keeps moving

Book requests by email, a word in the corridor, the monthly holdings check kept in your head. Librario gathers these requests on one Kanban board. You work through tasks one after another instead of jumping between your inbox and Excel. That keeps the library up to date, even when it runs alongside day-to-day work.

The bottleneck

Scattered requests cost focus

Book requests arrive by email, Teams chat and a word in the corridor. Error reports hide in replies to other emails. In the background, tasks nobody sees pile up: publications catalogued twice, records with gaps, routines such as the annual stocktake or the quarterly check of standards.

Without a central board, these requests slip through the gaps. Important orders sit in the inbox for days, quality errors in the catalogue only surface at the next audit, and nobody knows who is working on what.

Librario brings the catalogue and task management together in one interface. Every card links to the record it is about. No switching between tools, no copying book titles into a separate ticket system.

The features

From request to done

  • Bring user requests together

When someone needs a copy, they place a loan request straight from the publication page, and the library team delivers it, for example by internal mail. Error reports about metadata land on the board in a structured form, and you create book requests as a general task, with a priority and a due date. No more email ping-pong.
  • Data quality in the background

Every day, Librario checks your holdings for duplicate identifiers (ISBN, DOI, identical file), incomplete metadata and failed imports. Each finding becomes a concrete task on the Kanban board. If you mark a finding as not critical, Librario remembers: ignored tasks do not come back.
  • Use first, review later

With advanced task management, every import automatically creates a quality-review task. The publication is still available straight away; the review is logged on the board and waits until you or your student assistants take it on. No task gets lost, and later corrections stay visible. Loan requests and advanced task management, with quality-review tasks and recurring tasks, are an option on our custom plans.
  • Automate routines

A stocktake once a year. Standards checked every quarter. New periodical issues added on Mondays. You set up recurring routines like these once as a template in advanced task management, and Librario creates the actual task at the right time. You choose weekly, monthly, quarterly or yearly and set the due date and the assignee yourself.

How it works

Less searching, more done

01 · OVERVIEW

What is open is visible

A Kanban board shows at a glance what is open, what is in progress and what comes next. Every card carries its priority and due date. The board highlights overdue tasks in colour. If you prefer working through lists, switch to the filterable list view.

02 · HANDLING

The form fits the task

Duplicate review, loan request, quality review: each task type has its own detail view with exactly the fields that matter for that task. That way you work through a list in a few clicks.

03 · TEAMWORK

Shared by the team, not kept in one head

Tasks are spread across the team instead of living in one person’s head: hand the preparation to student assistants or your office assistant and keep the overview. During holidays or cover, everything is on the board, not just in someone’s memory. Responsibility for the content stays with the team.

04 · TRANSPARENCY

Requesters see their status

Anyone who places a loan request sees on the publication page that it has been requested and where it stands in the queue. Users find all their own loan requests and error reports, with their progress, under My loan requests and in their tasks. You sort out follow-up questions in a comment on the task.
