Research literature belongs to the project, not to a personal inbox
Replace the scattered libraries, not the tools: Librario brings the articles, standards and studies that sit in personal Zotero and Mendeley libraries today into one central, searchable library. Once it is set up, your team maintains it on its own. With native EndNote export and complete reference lists for your next submission.
The status quo
Five reference libraries, no shared access, and the next postdoc leaves in three months.
Your research group works on several projects at once. In practice, every doctoral researcher keeps their own Mendeley library and every postdoc a separate Zotero group. What the team actually uses gets passed around by email as a PDF or sinks into a shared drive whose structure only its creator understands.
Two problems make this expensive. The first is turnover: project staff and student assistants often leave the group after a few years. With them goes the knowledge of why certain sources were evaluated for a project. The next person starts the research from scratch.
The second is compliance. For regulatory submissions (in medical technology under ISO 13485, for example) you must be able to show at any time which sources were available at which point. A timestamp on a forwarded email will not pass an audit.
The new working day
Found in one place. Shared with the team. Exported for the submission.
Librario gives you a single source of truth. Each department gets its own curated collection: one per specialist team (centre of excellence), such as Regulatory Affairs or Biomechanics. A new colleague opens the collection for her area on her first day and starts from her predecessor’s reviewed holdings instead of from zero.
Maintaining it does not eat into your core working time. You can delegate cataloguing: student assistants or office assistants drag a new PDF into the browser, and Librario extracts the title, authors, DOI and year of publication on its own. Librario does the legwork; your team does the expert work.
When it is time to publish or file a regulatory submission, the regulatory team opens the project collection and clicks export: EndNote for Word workflows, BibTeX for LaTeX. In the BibTeX and CSV exports, every publication carries the date it was added. No copying together from five personal databases, no dependence on a single vendor.
With Librario
Four features for efficient research teams
-
Automated cataloguingA PDF upload or a DOI is all it takes. Librario adds the metadata automatically. You can delegate cataloguing to student assistants or office assistants. Responsibility for the content stays with the team.
-
Collections & permissionsOrganise literature in project or subject collections. Two roles (editors and owners) control changes; everyone in your organisation can view. That protects your documentation from accidental edits.
-
BibTeX & EndNote exportExport complete collections in one click to your preferred reference manager. For journal articles as well as regulatory reference lists.
-
AI integration (MCP)On the Team and Business plans, connect AI assistants such as Claude or ChatGPT directly to your library. The AI searches your reviewed holdings and points precisely to the sources on record.
Sized for research groups
Taken from the everyday work of research and development teams. No glossy promises.
- users on the Business plan, more on custom plans. Librario grows with your group from pilot project to a multi-site research and development department, without switching systems.
- Up to 60
- Editors and owners control changes per collection; everyone in your organisation can view and export. The person responsible for a subject maintains its holdings themselves, and the clear roles prevent accidental edits.
- Two roles
- Typical time to migrate from Excel lists and legacy systems, so your team can carry on working straight away. On our custom plans, we handle the data migration.
- Five working days
Working together
Librario works alongside your reference managers
Librario does not replace a reference manager: it is the library layer beneath it. Your team keeps writing with the tools it knows; Zotero and Mendeley also read the exported BibTeX files directly.
Librario & Citavi
The project ends, the knowledge stays: the collection outlasts the Citavi project folder and every change of staff.
Librario & EndNote
Native EndNote export in one click: from the company holdings into the regulatory submission.
Librario & BibTeX
BibTeX is a format, not a competitor: Librario exports it natively, for any LaTeX setup.
Literature that stays with the team, even when people move on.
