# Managing publications

As a [librarian or administrator](/en/docs/administration/rollen#bibliothekarin) you can add, edit and delete publications.

## Adding publications

You create publications one at a time by hand, or import them, for example by ISBN, DOI or file.
The [guide to importing publications](/en/docs/bibliothekswesen/importieren) covers every import option in detail.

The quality of the metadata decides how easily people find the publications in your library.
So we recommend checking the automatically captured data after an import and completing it where needed.

## Editing publications

Editing an existing publication covers three main areas:

- [Maintaining metadata](#maintaining-metadata)
- [Managing hard copies](#managing-hard-copies)
- [Linking files](#linking-files)

### Maintaining metadata

Correct and complete the bibliographic details so that search finds publications reliably.
Accurate titles, correct contributor names and meaningful keywords matter most.

The [field reference](/en/docs/bibliothekswesen/felder-referenz) explains what each bibliographic field means.
Our [cataloguing best practices](/en/docs/bibliothekswesen/best-practices) help you capture good metadata from the start.

### Managing hard copies

For physical publications you can [add new hard copies or manage existing ones](/en/docs/bibliothekswesen/leihexemplare-verwalten) at any time.
Record the exact location of every copy so that users find the publication quickly.
If a book should no longer be lent out, enable the **Reference-only copy** option on the copy.
You can only do this while the copy is not on loan.

### Linking files

With linked files, Librario searches the content of a publication as well as its metadata.
Ideally, you store the full text as a searchable PDF.
If legal or practical reasons rule that out, we recommend storing at least the table of contents.
The book's index is valuable too, because it contains the key technical terms.
If a file contains searchable text, the [full-text search](/en/docs/bibliothekswesen/best-practices/volltextsuche-optimieren) includes it.

> **Tip for better search results:**
>
> The more searchable files you store for a publication, the better the search results. Even when the full text is not available, a table of contents and a subject index make the technical terms they contain searchable for users.

## Deleting publications

> **Deleting cannot be undone:**
>
> You cannot undo the deletion of a publication. Deleting it permanently removes:
>
> - The publication itself with all its metadata
> - All linked files (full text, table of contents and so on)
> - All hard copies, including their loan history
